{"id":4812,"date":"2026-03-24T10:00:00","date_gmt":"2026-03-24T10:00:00","guid":{"rendered":"https:\/\/wordpress.aber.ac.uk\/digital-capabilities\/?p=4812"},"modified":"2026-03-20T11:57:17","modified_gmt":"2026-03-20T11:57:17","slug":"digitip-86-outlook-email-tagging-%f0%9f%8f%b7%ef%b8%8f","status":"publish","type":"post","link":"https:\/\/wordpress.aber.ac.uk\/digital-capabilities\/2026\/03\/24\/digitip-86-outlook-email-tagging-%f0%9f%8f%b7%ef%b8%8f\/","title":{"rendered":"Digitip 86 &#8211; Outlook Email Tagging \ud83c\udff7\ufe0f"},"content":{"rendered":"\n<p>If you&#8217;re like me, having an empty email inbox is both an incredible joy and an insurmountable goal.<br><br>Today i&#8217;ll share something that helps me feel more in control of my inbox by keeping track of what&#8217;s what &#8211; what you can delete, keep, respond to, or whatever else you need.<\/p>\n\n\n\n<p>Introducing: <strong>Email tagging!<\/strong><\/p>\n\n\n\n<p>This is a feature in Microsoft&#8217;s <em>Outlook<\/em> program, but it&#8217;s also present in lots of other email readers in different forms, so poke around in the settings for yours to see if you can make it work for you.<\/p>\n\n\n\n<p>In Outlook, <strong>click<\/strong> these coloured squares under the <strong>Home<\/strong> toolbar:  <img loading=\"lazy\" decoding=\"async\" width=\"54\" height=\"47\" class=\"wp-image-4813\" style=\"width: 54px\" src=\"http:\/\/wordpress.aber.ac.uk\/digital-capabilities\/files\/2026\/03\/Untitled-1.png\" alt=\"\"><br>Then,<strong> click &#8220;All Categories&#8221;<\/strong>: <img loading=\"lazy\" decoding=\"async\" width=\"162\" height=\"31\" class=\"wp-image-4814\" style=\"width: 150px\" src=\"http:\/\/wordpress.aber.ac.uk\/digital-capabilities\/files\/2026\/03\/Untitled-2.png\" alt=\"\"><\/p>\n\n\n\n<p>In this settings menu, you can rename and recolour the tags (or &#8216;categories&#8217;) that you&#8217;ll be applying to your emails.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"469\" height=\"377\" src=\"http:\/\/wordpress.aber.ac.uk\/digital-capabilities\/files\/2026\/03\/Untitled-3.png\" alt=\"\" class=\"wp-image-4815\" \/><\/figure>\n\n\n\n<p>From there, you can select the email you want to tag, then use the dropdown menu accessed by clicking <img loading=\"lazy\" decoding=\"async\" width=\"54\" height=\"47\" class=\"wp-image-4813\" style=\"width: 54px\" src=\"http:\/\/wordpress.aber.ac.uk\/digital-capabilities\/files\/2026\/03\/Untitled-1.png\" alt=\"\"><strong>&lt;- this<\/strong>, and tag your emails as you wish!<br>You can also set custom keyboard shortcuts to apply tags, which can speed things up even more once you get used to sorting them.<br><br><\/p>\n\n\n\n<p>To demonstrate why you might want to start tagging your emails, here&#8217;s an example inbox:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"422\" height=\"304\" src=\"http:\/\/wordpress.aber.ac.uk\/digital-capabilities\/files\/2026\/03\/Untitled-4.png\" alt=\"\" class=\"wp-image-4816\" \/><\/figure>\n\n\n\n<p>I&#8217;ve gone through these emails and quickly tagged them with how I want to deal with them. &#8220;Action (red)&#8221;, &#8220;Keep for reference (yellow)&#8221;, &#8220;Respond (blue)&#8221; and no tag.<br>Later, when I have the time to write some emails, I can look back through my inbox and sort by categories so I know exactly where each one is supposed to be. It acts as a visual indicator of what emails require further action, which ones are meant to remain in your inbox or archive, and which ones can be safely deleted.<\/p>\n\n\n\n<p>Scaling this up to the hundreds of emails you may receive &#8211; some useful, some pointless, some neither &#8211; combined with the ability to sort by tags and deal with them all at once, and you may see how this can make managing a busy inbox much less of a daunting task!<\/p>\n\n\n\n<p class=\"has-background\" style=\"background-color:#cceff2\">To follow our DigiTips,&nbsp;<a href=\"https:\/\/wordpress.aber.ac.uk\/digital-capabilities\/\" target=\"_blank\" rel=\"noreferrer noopener\">subscribe to our Digital Skills Blog<\/a>.
